OFFICE MANAGER

Seeking a skilled office manager to join our team. In this role, you’ll oversee daily office operations, manage administrative tasks, complete accounting functions such as Accounts Payable, Accounts Receivable and Payroll, and support our construction team through job tracking and scheduling. We are looking for someone very experienced with QuickBooks who is incredibly self-motivated, needs little supervision and is able to supervise one other employee. This business is seasonal, so hours will fluctuate between the busy and off-seasons.

Office Manager Job Responsibilities:
• Supervise and manage the proposal process working closely with Estimators and office staff to schedule, prepare, distribute and track work proposals.
• Manage work flow by tracking jobs to be completed, working with the crew supervisor to schedule jobs, invoicing completed work and managing receipts.
• Receive, track and pay invoices due to vendors.
• Maintain office services by organizing operations and procedures, preparing payroll, managing correspondence, managing the maintenance of file systems and assigning clerical functions
• Assist production through the ordering of mix, scheduling work and communicating with clients.
• Maintain and reconcile bank balances and prepare file at year end for tax accountant.
Work Hours and Benefits
• Work hours are 8:30am to 5pm with lunch period Monday through Friday during construction season (April 1 through November 31). 15 to 20 hours per week scheduled to meet reduced responsibilities in the off-season ( December 1 – March 30)
• Paid vacation time is earned after probationary period.
Qualifications and Skills Desired
• Proficiency with Microsoft Office Word and Excel
• Proficiency with Quickbooks
• Prior experience with Accounts Payable, Accounts Receivable and Payroll
• High integrity and self-management skills
• Ability to communicate concerns and work with ownership to improve office systems and procedures
• Comfort with changing priorities and a dynamic work environment
Education and Requirements
• High school diploma, GED, or equivalent
• Two to three year’s experience in an office setting as manager
