Winning more work does not help much when estimating it consumes the capacity needed to deliver the projects you already have.

Careful estimating is important. Exhaustive estimating for every inquiry is not.

An early request for a ballpark price and a well-defined project close to being awarded should not receive the same level of effort. Before adding more detail, it helps to ask:

What decision will this information change?
What meaningful risk will it reduce?
Has this opportunity earned this much of our time?

In this article, I look at how small businesses can qualify opportunities, reduce the important unknowns, reuse information from previous proposals, and reserve detailed estimates for work mature enough to justify the investment.

How much unpaid time disappears before a project even starts?

A potential client asks for a quote. You respond with a few questions. They answer half of them. Then come the follow-up emails for missing files, measurements, account access, project details, or whatever else you need to move forward.

Before long, you have already spent time on a project that does not technically exist yet.

The solution is not necessarily a longer form, a new CRM, or more automated reminders. First, the business needs to define what makes an inquiry ready for pricing, ready to schedule, and ready to begin.
