Job Description
A San Diego local landscape design build firm is looking to hire a part-time Administrative Assistant to be responsible for a variety of administrative tasks to ensure maximum productivity along with assistance in accounting as well as marketing. You will be responsible for keeping the day-to-day operations running smoothly and overseeing any part of the business that needs support.
Monday-Friday 8am-10am & 2pm-4pm(20Hrs/wk) (Potentially transition into more office hours post-Covid) Our normal business hours are 7am-5pm Monday Through Friday.
SALARY Pay will be discussed during interview
LOCATION Work remotely. Attend weekly meetings taking place in North Park once or twice a week.
JOB DESCRIPTION
ADMINISTRATIVE ASSISTANCE
Handling a variety of administrative tasks; filing, bookkeeping, generating regularly scheduled reports, preparing for meetings, conducting research and so on
Providing scheduling support by answering to phone calls, texts and emails
Maintaining professional verbal and written communication with clients, staff and vendors
Managing and organizing company calendar and preventing schedule conflicts
Anticipating the needs of the rest of the staff and providing assistance accordingly
Act as the point of contact for new clients and maintaining contact lists
Updating and maintaining business procedures as directed by the principal designer
Participating and taking minutes of team meetings
ACCOUNTING ASSISTANCE
Developing and Maintaing a filing system
Identifying any discrepancies in company accounts and correcting them
Creating financial documents such as bills and invoices
Managing business expenses made through company account and reconciling business expenditures and the set budget
Posting daily receipts and financial documents
Generating daily and weekly financial reports
MARKETING ASSISTANCE
Conducting market research and identifying marketing opportunities
Maintaining a marketing data base
Collecting revies and writing personalized responses
Keeping business information updated online
REQUIREMENTS
Prior administrative experience
Basic knowledge of business management systems and procedures
Excellent computer skills
Attention to detail and problem solving skills
Desire to be proactive and creative
Proficiency in Quickbooks, MS Office, Google Sheet, Google Drive, Google Doc and Google Calendar
Excellent time management skills and the ability to prioritize work
Strong organizational skills
Polite and professional manners
