The Role:
Motek Electrical requires a dynamic Office Administrator to ensure proper flow of office procedures, and support to the office manager by carrying out general office duties.
The Office Administrator is required to also maintain a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone.
Key Accountabilities:
• Acting as a first point of contact: dealing with correspondences e-mails and phone calls.
• Advanced knowledge of MS Word, PowerPoint and Excel.
• Creating quotations, invoices, purchase orders and reports for clients.
• Manages reception area and attending to visitors.
• Implementing and maintaining procedures/administrative systems.
• Typing, compiling and preparing (printing binding) reports, presentations and correspondences.
• Maintains stock lists and order office supplies as needed.
• Creating agendas and minute taking.
• Managing diaries and organising meetings and appointments, often controlling access to the manager.
• Completing tender documentation, Co-ordinating and arranging deliveries thereof.
• Managing company bakkies, power tools and tool boxes for all electricians.
• Tracking of supplier accounts and doing general book keeping to assist the accountant.
• All project administration ie. Letters of Appointments, Agreements (If applicable).
• Liaising with staff, suppliers and clients.
• Managing databases and filing systems.
• Miscellaneous office tasks to support the office and the manager.
• Demonstrated ability to provide proactive quality administrative assistance
Essential Experience:
• 2 years minimum office administration, coordination and secretarial experience.
• Experience in the electrical industry (an advantage).
Essential Qualifications:
• Matric certificate.
• Tertiary qualification in Electrical or Business Admin (an advantage).
