Administrative Coordinator

📍 Office-Based | 🕘 09:00 – 17:00 | Full-Time

Sub-Zero Refrigeration & Air Conditioning Ltd is a growing commercial refrigeration and air conditioning company working across South and West Wales and the South West of England.

Due to continued growth, we are looking to recruit an Administrative Coordinator to support our day-to-day operations and help keep the business running efficiently.

The Role

This is a key position within the business, supporting engineers, customers, and the wider office team.

You will be responsible for coordinating jobs, managing communication, and ensuring all administrative processes are completed accurately and on time.

Key Responsibilities

* Coordinating engineers and scheduling daily works
* Handling incoming calls and customer enquiries
* Booking in reactive and planned maintenance jobs
* Tracking quotations and carrying out follow-ups
* Supporting invoicing by ensuring job information is complete
* Maintaining accurate records, systems, and trackers
* Liaising with engineers and clients to ensure smooth delivery of works

What We’re Looking For

* Previous experience in an administrative or coordination role
* Strong organisational and time management skills
* Confident communication (phone and email)
* Ability to work in a fast-paced environment
* Proactive attitude with strong attention to detail

Experience within a service, engineering, or facilities environment would be beneficial but not essential.

This is a busy and varied office role where you will play an important part in supporting engineers, customers and the management team.

You will help ensure jobs are scheduled efficiently, customers are kept informed, and client accounts are managed correctly.

• Managing and supporting key client accounts
• Logging service calls and scheduling engineers
• Liaising with engineers regarding job progress and updates
• Communicating with customers to arrange appointments and provide updates
• Raising and processing job sheets, purchase orders and invoices
• Tracking completed works and ensuring jobs are closed correctly
• Maintaining accurate records within company systems
• Supporting maintenance scheduling and service planning
• Handling incoming calls and email enquiries
• General office administration duties
