Office Administrator Needed for HVAC Company

Job Overview: The Office Administrator at an HVAC company plays a crucial role in ensuring the smooth operation of the office and supporting the administrative needs of the team. This position involves a variety of tasks including managing communications, maintaining records, coordinating schedules, and providing excellent customer service.
Key Responsibilities:
1. Administrative Support:
• Manage office operations including ordering supplies and maintaining office equipment.
• Prepare and process documents, reports, and invoices.
• Organize and maintain physical and digital files and records.
2. Customer Service:
• Answer and direct phone calls and emails from customers.
• Schedule service appointments and dispatch HVAC technicians.
3. Scheduling and Coordination:
• Coordinate technician schedules and ensure timely service delivery.
• Manage the calendar for the office and key personnel.
• Assist in planning and organizing company events and meetings.
4. Financial Tasks:
• Assist with accounts payable and receivable.
• Process payments, track expenses, and reconcile accounts.
5. Communication:
• Serve as a liaison between customers, technicians, and management.
• Prepare and distribute internal and external communications, such as memos, emails, and newsletters.
6. Office Management:
• Ensure the office environment is clean, organized, and conducive to productivity.
• Implement and maintain office policies and procedures.
• Manage office logistics and ensure compliance with health and safety regulations.
Qualifications:
• High school diploma or equivalent; additional education or certification in office administration is a plus.
• Proven experience as an office administrator, office assistant, or relevant role.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software.
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• Ability to work independently and as part of a team.
• Basic understanding of financial principles and bookkeeping.
Preferred Skills:
• Experience in the HVAC or construction industry.
• Knowledge of HVAC terminology and processes.
• Familiarity with scheduling software and customer relationship management (CRM) systems.
By fulfilling these responsibilities, the Office Administrator supports the overall efficiency and effectiveness of the HVAC company's operations, contributing to customer satisfaction and business success.
