We’re looking for someone who thrives in a dynamic office environment, has strong financial administration skills, and is excited to be part of a hardworking, fun-loving team.
What You’ll Do:
🧾 Financial & Administrative Management
• Manage accounts payable (AP) and accounts receivable (AR) for multiple entities
• Maintain accurate AP/AR records, reconcile statements, and ensure timely payments
• Prepare certified payroll reports and ensure compliance with federal/state regulations
• Oversee lien waivers, AIA billing, and Textura MPS compliance
• Monitor and organize email communications and ensure timely responses
• Maintain and update customer records in the company database
📞 Office Operations & Coordination
• Manage incoming calls and route messages to appropriate team members
• Ensure the smooth day-to-day operation of all office administrative functions
• Plan occasional company events and support team coordination
• Organize delivery tickets, check stubs, and invoices for audit purposes
📣 Marketing & Social Media
• Manage and update the company’s Facebook and Instagram accounts
• Post job site photos, company updates, and other engaging content
📌 What We're Looking For:
✅ 3+ years office admin or bookkeeping experience
✅ Experience with certified payroll
✅ Proficiency with Microsoft Office (Outlook, Word, Excel, etc.)
✅ Excellent organizational and communication skills
✅ Ability to take initiative, manage multiple tasks, and meet deadlines
✅ Bonus if you’ve worked in construction/admin before!
