Management Administrator/ Office Adminstrator/ Client Relations

We are looking for someone to be the hub of our Client Relations and all that it entails. This position is within our Office and Administrative team. You would help our Operations team in the office by processing route sheets, creating work orders, and invoicing work completed. In addition, you would support the team members and crews with scheduling and time management. This position requires an eye for detail, clear communication, and impeccable follow-through. This position is critical to the success of our Operations team and Client Satisfaction.
We need someone who desires a career in Office Administration and wants to be a vital part of our TLC Team.
The ideal candidate will have the following qualities:
GSuite and Google applications (Sheets, Drive, Keep, Docs, & Hangouts)
QuickBooks Enterprise Solutions (Intermediate level)
Customer service skills
Strong verbal and written communication skills (bi-lingual is a plus)
Enjoy partnering with others to accomplish tasks
Must be comfortable with problem-solving
Flexible to ever-changing processes and systems
Previous experience in administrative services or other related fields
Ability to prioritize and multitask
Strong organizational skills
Deadline and detail-oriented
Strong leadership qualities
Day to Day Task and Responsibilities include:
Distributing route sheets
Creating, maintaining, distributing and scheduling of proposals, work orders, and rechecks
Scheduling team calendars utilizing At A Glance
Processing daily paperwork through Clip and Quickbooks
Creating estimates, work orders, sales orders, and invoices
Processing credit card payments
Printing forms, such as chemical signs, benchmarks, route sheets, sign in / out sheets, etc.
Assembling team folders for the following day
Greeting all guests that enter the office and directing them to the appropriate contact
Gatekeeping for the Owner and other managers as needed
Keeping desk area clean and organized
Deciphering, dispatching and maintaining emails, faxing, and scanning needs
Communicating to and assisting the Office Manager
Checking voice messages, emails, and chats every morning
Answering phones within 2 rings (record pertinent client information while on the phone)
Informing clients of company policies and procedures, standards of performance, account info., etc
Keeping clients updated with any information or new implementations at TLC
Responding to client needs appropriately and in a timely manner, referring to the appropriate manager for service
Staying current with restrictions, rules, regulations, and licensing in our maintaining counties
Submitting contracts and renewal to our clients
Processing and terminating clients
Emailing scheduled dates of daily proposed work
Maintaining current client data within our programs
Running outstanding work reports
Meeting with management team to ensure clear communication and follow-through
Communicating equipment and supply needs to appropriate person

We serve over 5,000 people in Pinellas, Pasco, and Hillsborough counties
Our office is located in Odessa, FL
Our typical workday is 7:00am - 4:00pm
