CME Architects is looking for a new Office Manager to help a dynamic and innovative, 12-person architectural firm succeed in 2022 and beyond!

Overview:
The Office Manager position coordinates and oversees financial and administrative duties while ensuring the office operates efficiently and smoothly. The successful candidate will be part of a dedicated and passionate team and work to develop office policies and procedures, and ensure they are implemented appropriately.

What youโ€™ll do on a regular basis:
Daily:
โ€ข Respond to phone and email inquiries and distribute messages as needed.
โ€ข Verify correct deposit/withdrawal information and reconcile accounts.
โ€ข Process incoming mail: deposit checks, enter new bills for payment, pay any outstanding bills and fulfill requests for printing.
โ€ข Ensure smooth day-to-day operations of business.

Weekly:
โ€ข Submit payroll, track time off, reconcile Quickbooks.
โ€ข Create weekly financial and project reports and distribute as needed.
โ€ข Check inventory and order as needed.
โ€ข Correspond with clients on payments and update files.

Monthly:
โ€ข Reconcile all bank account information and track expenses.
โ€ข Reconcile and pay business accounts/invoicing.
โ€ข Coordinate vendor/consultant/tech needs.

Annual:
โ€ข Work with senior management to review prior yearโ€™s financials, client relationships and staffing and assist with supporting future planning.
โ€ข Renew all licensing and submit corporate filings.
โ€ข Coordinate the renewal of company-sponsored health insurance plans and process all necessary paperwork.
โ€ข Coordinate audits with insurance company and complete necessary paperwork.

Key Responsibilities:
The responsibilities of the position include a variety of office management, accounting, coordination and reporting functions:
โ€ข Bookkeeping/Financial: Handle Accounts Payable and Accounts Receivable files; Generate client invoices and communication with clients and vendors/consultants; Produce weekly financial reports; Process and submit weekly payroll; Track all job numbers, client invoicing and correspondence.
โ€ข Coordinate and support agency staff: track time off and manage vacation scheduling, assist staff and clients with copying of plans and track those activities for billing.
โ€ข Oversee relationships with outside vendors, maintenance and IT/Tech support as needed. Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure.
โ€ข Identify opportunities for process and office management improvements, and design and implement new systems.
โ€ข Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, and creating reports.
โ€ข Other: Maintain inventory of office supplies; answer phones and respond to emails as needed;
Coordinate mailings via FedEx, UPS store, etc.

What youโ€™ll need to succeed:
โ€ข Bachelorโ€™s and/or Associateโ€™s degree in business administration, accounting or similar; High school diploma with experience also considered.
โ€ข 3-5 years of office management and/or accounting experience.
โ€ข Demonstrated knowledge of computerized financial and accounting systems (Quickbooks).
