This position is full-time, in-office. Monday – Friday 8-430
Universal Alarm Inc and Santa Rosa Fire Equipment Services are merging to one building. We are looking for a self-starter, personable, and extremely detailed-oriented with the ability to prioritize, multi-task, and effectively communicate to ensure efficient workflow processes for a midsize family-owned business. The ideal candidate will be highly organized, reliable, flexible and have experience working with standard accounting practices and billing. The primary responsibilities include, but are not limited to, Database Inventory Management, A/R, A/P, payroll, bank reconciliations. We have several different departments and have just upgraded to a new software system that we are trying to learn (ServiceTitan)
Qualifications & Personal Characteristics
Advanced QuickBooks Desktop experience – 5+ years related experience in multi-company structure preferred but not required.
Solid general bookkeeping accounting knowledge and judgment
Self-starter with a strong ability to organize and prioritize
Excellent communication, analytical, and interpersonal skills with the ability to maintain vendor relations
Work flexibly, proactively, and collaboratively, asking pertinent questions, and meeting or exceeding goals, objectives, and deadlines
Ability to multitask and perform under tight deadlines with efficiency and effectiveness with little supervision
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
Service Titan and QuickBooks proficiency is a plus
· Responsibilities
Enter bills in our accounting system, facilitating approvals from different departments
Pay bills and printing of checks in QuickBooks
Entering credit card transactions to Service Titan
Prepares AP aging reports
Address vendor inquiries and manage vendor relationships
Manage purchase orders and expense reports
Maintain historical records by filing documents
Assist in preparation of year-end 1099s
Complete other projects or special assignments when requested assisting with a variety of tasks related to process management, organization, and coordination on and as a needed basis
